Chat Do Ltd (“Chat Do”, “we”, “us”) is committed to protecting the privacy of children, families and coaches using this website.
1. Who We Are
Chat Do Limited (“Chat Do”, “we”, “us”, “our”) is a company registered in England & Wales (Company No. 16767864). We operate the website chatdo.co.uk and are committed to protecting the privacy of all users, with particular care for children and young people under the age of 18.
We are registered with the Information Commissioner’s Office (ICO) under registration number ZC085027.
2. What This Website Currently Does
This website currently offers two functions only:
• Purchase of Chat Do® Player Cards (a personalised physical product)
• Registration to our Priority List to receive early access information about our forthcoming digital platform
We do not operate a social network, public profiles, video sharing, or nomination service through this website at this time.
3. What Personal Data We Collect
We collect only the minimum data necessary for each function, in accordance with the UK GDPR data minimisation principle. The ordering process is split into two stages — coach submission and parent submission.
Stage 1 — Coach submission:
• Coach name, team name, phone number, email address, and delivery address
• Card series selection and quantity
• For each player: first name, six ability ratings, overall score, and Coach Comments
Stage 2 — Parent or guardian submission (via a secure personalised link):
• Child’s surname initial and year of birth
• Shirt number
• Confirmation of ability ratings entered by the coach
• Child’s photo (uploaded by parent or guardian only)
• Payment information (processed securely by Stripe — we do not store card details)
For the Priority List:
• Email address only
For website analytics (Google Analytics):
• Anonymised usage data including pages visited and approximate location
• Cookie identifiers (see our Cookie Policy for details)
4. Special Protections for Children
Chat Do is designed for players aged 6 to 18. We take our obligations under the UK GDPR, the Data Protection Act 2018, and the ICO Children’s Code (Age Appropriate Design Code) seriously.
• Children under the age of 16 must not submit any personal data directly. All registrations and content submissions must be completed by a parent or legal guardian.
• All child profiles are parent-managed. No child account or login is created without verified parental consent.
• We do not create public-facing profiles for children.
• We do not use children’s data for advertising or profiling.
• Geolocation is not collected from children.
• High-privacy defaults apply to all child-related data.
• Children will be informed, in age-appropriate language, that their profile data is managed and may be reviewed by their parent or guardian.
5. Legal Basis for Processing
• Consent — when a parent or guardian submits information for a Player Card order or joins the Priority List
• Contract performance — to process and fulfil Player Card orders
• Legitimate interests — to operate and improve this website, balanced carefully against the rights of all users, especially children
6. How We Use Your Information
• To produce and deliver personalised Chat Do® Player Cards
• To communicate with coaches and parents regarding orders
• To send Priority List updates (you may unsubscribe at any time)
• To maintain records required for safeguarding and legal compliance
• To improve website performance using anonymised analytics
We will never sell your data or use it for third-party advertising.
7. Data Sharing
We share data only where necessary:
• Stripe — for secure payment processing
• Our printing and fulfilment partner — player card details only, to produce the physical card
• Google Analytics — anonymised usage data only
We do not share children’s personal data with any third party without a compelling, documented reason that serves the child’s best interests.
8. Data Storage & Security
All personal data collected through Chat Do® is processed and stored securely within the UK and European Economic Area (EEA), in compliance with UK GDPR and data protection law.
9. Data Retention
• Player Card order data: retained for up to 12 months from the date of order, or longer if required by law
• Priority List email addresses: retained until you unsubscribe
• Analytics data: retained in line with Google Analytics default settings (up to 26 months)
Upon termination of membership or deletion request, we will retain data only for the minimum period required by law before secure deletion.
10. Your Rights
Parents and guardians may exercise the following rights on behalf of their child:
• Right of access — to request a copy of the data we hold
• Right to rectification — to correct inaccurate data
• Right to erasure — to request deletion of data where no legal retention requirement applies
• Right to restrict processing
• Right to object to processing
